Getting Started Guide
Account Activation / First Login
Once you are added to the account, an activation link is sent to your email. Click that link in order to login to your account for the first time.
From the tab ‘Dashboard’ you will find many useful features that are central to your account from urgent ‘Notifications’ to choosing your ‘Availability’. This is the landing area that appears when you first sign in and serves as a launch pad for accessing other critical areas of the application.
From the tab ‘ShiftPlanning’, you will see the schedule page. Here, there are powerful options that will enable you to effectively see your shifts. Initially you will be at today’s date (shown in yellow) and you can navigate forward and backward from the top mid of the ShiftPlanning tab (Arrow Forward/Back icon). From the left, you will be able to access ‘My Schedule’, ‘Schedule Overview’ as well as can change the ‘Schedule Views’ from the top right.
The ‘Reports’ tab is the operations center for critical detailed reports: there are numerous dynamic reports that you can run for scheduling and other information relevant to you. Your management has the right to enable or disable your access to this section.

Updating My Profile
Clicking on your picture at left bottom -> ‘Profile’ -> ‘Employee Details’ you will see your basic ‘Profile’ information.
This information will also be shown to all other staff members if management has the ‘Settings’ -> ‘Account’ -> ‘Staff Setting’ -> ‘Employees can edit their profile’ and ‘Employees can view staff gallery’ enabled.
Full Name
This displays your first then last name throughout the system.
ID
This is an employee identification number (Eid) used in many payroll programs that you can set as required.
Username
This is used to sign in as and needs to be unique in our entire system. You set this once you receive your Activation Link.
Mobile
Mobile cell phone number, also used to receive text alerts from the system.

Home
Home phone number for other staff members to see.
Email
You will receive Humanity email alerts to this address. This can also be used to sign in with and along with your ‘Username’ identifies your account.
Wage
This is your employee base ‘Regular’ wage in contrast to a ‘Special’ or ‘Overtime’ wage. This can also be set to change based on the ‘Position’ or the time of day worked.
Birthday
This shows your birthday as 0 if none has been entered yet.
Positions
These are the ‘Positions’ that you are assigned to work.

Booking Open Shifts
From the tab ‘ShiftPlanning’ in the ‘Month’ view you can see ‘Open Shifts’ as ‘Available Shift’.
Click on it and it will take you to where you will see a list of ‘Open Shifts’ under ‘Available Shifts’. Click ‘Request To Work’ to pick up a shift.

View My Upcoming Shifts
Upcoming Shifts
All the ‘Upcoming Shifts’ that you are scheduled to work on are shown on the Dashboard page. ‘Availability’ & ‘Shift Trade’ can also be initiated within this section. ‘Black Notes Icon’ at the end of shift times allows you to initiate trade request, whereas the availability is edited/checked from ‘Check Your Availability’ link.

Trading Shifts
You may choose to trade shifts with one another within the Humanity system. You can access the trade request window on the home page underneath ‘Upcoming Shifts’ by clicking on the ‘black paper icon’ or in your ‘Profile’ underneath ‘Upcoming Shifts’.
You can also click on the ‘Shift’ link on any day shown on the schedule which will open a shift screen where you can trade a shift by clicking ‘Request Trade’.
You will need to provide a reason for the change and indicate which employees may be able to cover the shift.
Once the request is sent, Humanity notifies management as well as the employees selected to potentially cover the shift.
Release Shift
Release Shifts can be thought as give away your shift to any available employee. This feature can be turned on or off by management. If enabled when you go to trade their shift in ‘My Schedule’ you’ll see the ‘Request Trade’ button.
If you choose release shift, you’ll see all available employees to take your shift.
Once everything is over, shifts will in affect be swapped between employees.

Activation Email: I haven't received my activation email.
If you haven’t received your account activation e-mail please first be patient. Sometimes these e-mails can take up to 5 minutes to be received (make sure to check your junk mail). If you still can’t find it, send an email to [email protected] to request a temporary login and password.
Set up Text Message (SMS) Alert for New Games
To confirm your phone to receive SMS text messages:
Click on your profile pic at left bottom -> ‘Settings’ -> ‘Mobile Provider / Mobile Phone’ -> ‘Save Employee’
Make sure you have your ‘Mobile Provider’ set, the correct number and click ‘Save Employee’.
Now go to your ‘Dashboard’ again and click ‘Send a confirmation text now’ in the notice box. Once you receive the ‘Confirmation Text’ on your phone add it the in the field and click ‘Submit’.
Some providers (i.e. AT&T, Verizon, etc.) require you to either to register or follow a particular process before your SMS service gets activated on your mobile. See

Supported Web Browsers
The Ref Book’s shift management software, ShiftPlanning, supports all of the latest web browsers including:
– Internet Explorer

– Firefox
– Safari
Changing My Password
From your tab ‘Staff’ -> ‘Your Profile’ ‘Password’ you can reset your password. Add the ‘Current password’, ‘New password’ then ‘Confirm password’ then click ‘Update Password’.
Mobile: Viewing Schedules
Days with a shift have a green boarder at the top.
In the drop down box you can see ‘My Schedules’, ‘Schedule Overview’ and your ‘Positions’.
You can refresh the page with the ‘Refresh’ button.
If you have Scheduler level permission enabled by management for this Position, you can open the ‘Shift Edit’ window of a shift. First select the day by clicking on the shift which will show a red boarder at the top.
Now click the plus sign ‘+’ at the top right.
Or you can click the displayed shift on the shift list.
Here you can ‘Publish’, ‘Edit’ or ‘Delete’ the shift.
Click ‘Edit’ and you’ll see the Shift Edit Window again.
Work Sites
Here you can see any ‘Remote Sites’ assigned to the shift. If you click on ‘Get directions’ it will give you directions from your address to the remote sitaddressTo return click the blue ‘Back’ arrow.
